Hours: Approximately 10 hours per week

Compensation: $15-18/hour commensurate with experience

About Yes Arts:

Yes Arts mobilizes the power of community and the arts to disrupt the cycle of addiction, with a focus on primary prevention for children and recovery services for individuals impacted by substance use disorder and trauma. We collaborate with local schools, nonprofits, law enforcement, and public health organizations, engaging the community through arts programs, therapeutic support, and family outreach.

Position Summary:

Yes Arts seeks a detail-oriented, self-driven, and organized Administrative Assistant to provide part-time contract support for our daily operations. The successful candidate will be instrumental in managing donor databases, coordinating materials, and facilitating smooth communication across the team, contributing to the overall efficiency of our mission-driven work.

Key Responsibilities:

General Administrative Support:

  • Manage calendars and schedule meetings for leadership and team members.

  • Organize and maintain digital files, records, contracts, and databases.

  • Prepare correspondence, reports, and presentations as needed.

  • Order and maintain office supplies, or coordinate vendor services.

Communication and Outreach:

  • Respond to general public inquiries via email and phone, providing information about Yes Arts programs and services.

  • Manage email correspondence and route messages to appropriate team members.

  • Serve as a liaison for community partners, stakeholders, and donors.

  • Assist with updates to newsletters and other public-facing communications.

Financial Support:

  • Assist with submitting payroll/contractor payments to Jitasa Financial Team.

  • Manage invoices and track payments for vendors and service providers.

Board and Meeting Coordination:

  • Prepare materials for board meetings, including agendas, reports, and presentations.

  • Communicate meeting schedules and reminders to board members.

  • Record and distribute meeting minutes.

  • Track action items from the Strategic Plan and board meetings to ensure follow-up.

Donor and Fundraising Support:

  • Enter and update donor information in the donor database (e.g., Bloomerang).

  • Support outreach campaigns, such as direct mail appeals or email marketing.

  • Oversee logistics for the Annual Fund Drive, including working with the Volunteer

  • Coordinator to prepare materials, track contributions, and prepare acknowledgment letters.

  • Provide administrative support for grant tracking and donor stewardship.

  • Research potential donors, grants, or partnerships for development staff.

Qualifications:

  • Minimum of High School Diploma/GED (Bachelor's Degree preferred)

  • Proven experience in an administrative support role, preferably in a nonprofit setting.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Proficient in Google Workspace and digital collaboration tools (e.g., Zoom, Trello).

  • Ability to work independently, manage multiple tasks, and meet deadlines.

  • Passion for the mission of Yes Arts, with a background in arts, prevention, or recovery work a plus.
