Position: Part Time, Non Exempt - Project Director

Schedule: Flexible, Hybrid/Remote

Reports to: Executive Director

Yes Arts is seeking a highly organized, self-driven, and detail-oriented individual who embodies our values of compassion, integrity, and respect.

Overview

The Project Director will be responsible for overseeing implementation of a five (5) year SAMHSA SPF-PFS Grant.

  • Acts as lead coordinator and manager for the Strategic Prevention Framework - Partnerships for Success SAMHSA Grant and is the main point of contact for the program

  • Oversees reporting, data analysis, and fiscal monitoring

  • Attends regular meetings with Yes Arts’ team members and sub-recipient partners

  • Represents the program at high-level meetings within the community

  • Works with other SPF-PFS agencies at the state level to ensure coordination and no duplication of services

Responsibilities

  • Coordinates the monitoring and evaluation of programs that are funded by the SAMHSA grant to ensure that operations conform to the terms of the agreement, and that maximum efficiency is achieved

  • Oversees activities of key personnel and other team members funded by the grant

  • Compiles all components of project/grant documentation, ensuring that all materials are formatted, packaged, and submitted in accordance with granting agency requirements and timelines

  • Design, formatting, and preparation of grant documentation

  • Maintains systems for data collection, record keeping, and tracking of project/grant requirements

  • Creates and distributes standard or special reports, summaries, and analyses

  • Develops and maintains a library of reference documentation, including such information as granting agency requirements and forms, reference material, and other pertinent materials and documents

  • Monitors and coordinates the administration of post-award projects/grants to ensure budgeting and administrative policies, procedures, and agency requirements are being followed and kept up-to-date

  • Assists in managing administrative problems and/or budget changes occurring during the awarded project/grant period

  • Maintains knowledge and compliance of grant funding policies, regulations, and procedures; disseminates and/or presents changes to partners and advises on the implementation of changes, and on the impact of changes to funded operations

  • Drafts and manages schedules for implementation of long-range plans and deliverables.

  • Works with team members and partners to obtain their understanding of the necessity of following proper procedures in achieving project goals

  • Alongside the finance team, monitors financial administration of grants to ensure that proper documentation is submitted for expenditures and that requests for funds are made within time limitations specified

  • Maintains collaborative relationships between agency, community stakeholders, and fellow team members

  • Maintains confidentiality in all interactions related to the agency, i.e., any records or client related information

  • Other duties as necessary or required for the fulfillment of the project/grant program

Minimum Qualifications and Skills

  • Bachelor’s degree in healthcare or business, or related field (e.g. social work, counseling, behavioral health, healthcare administration, finance, business administration, etc.)

  • Two years complex project management experience preferred

  • Three years experience in federal grant management preferred

  • Knowledge of non-profit organizations, marginalized populations and/or the arts is preferred

  • Extremely organized and meticulous with details

  • Excellent verbal and written communication skills

  • Excellent interpersonal skills

  • Excellent time management skills with proven ability to meet deadlines

  • Excellent project management skills and ability to prioritize work and resources

  • Strong analytical and problem-solving skills

  • Ability to maintain confidentiality with personal information that may be needed for some grants, such as employee salaries or upcoming projects

  • Proficient in basic computer based programs including Google Drive/Docs/Sheets/Forms, Microsoft Word/Excel, Canva, and willing to learn other applications

  • Ability to satisfactorily pass a comprehensive background screen

  • Valid driver’s license
